Client: Banco Santander
Overview:
Banco Santander is the fourth largest bank in the world by profits (EUR 9
billion in 2009). With presence in Europe, United States, Latin America and
Africa, it counts with 170000 employees. Banco Santander changed radically the
way the documents were published in the Intranet, by moving them to DocManager,
where additional to the control security and divulgation features, all the users
have quick access to latest information items and with a complete set of usage
level reports.
Background:
Banco Santander´s organization & methods area had all the processes well
documented, placed in the Intranet environment. However, document control turned
out to be a very cumbersome procedure, encompassing several manual steps and
involving quite a lot of staff required to change, publish and divulge new
documents. Furthermore, users were not interested into accessing the information
because the lack of intuitiveness.
Solution:
DocManager was implemented to control all the processes documentation in the
Colombia branch, in a record time of 3 months. To achieve this, a team was
assembled including project and IT leaders, from both sides (client and
provider). The processes were studied and the information was loaded into the
application, adjusting the administration and divulgation procedures, to finally
conduct training seasons.
Outcome
With the implementation of DocManager, users count on a tool which executes all the
required steps for the administrative control of document versions, publishing
and divulgation and the security configuration, ensuring processes quality and
saving up to 30%in the invested time. Additionally, processes are lined up with
the ISO-9000 standard.
